The challenge
The nonprofit runs weekend classes for a few hundred students, with drop-off in the morning and pick-up in the afternoon. Arrivals and departures lived on paper sign-in sheets at the front desk. On a busy Saturday the sheet fell behind, and nobody could say with confidence who was actually in the building. Staff and volunteers wanted one glance to answer that question.
What we built
- A check-in kiosk near the entrance: students find their name or scan a code and tap in or out. It takes about a second.
- A live board on a wall-mounted TV in the front office: everyone currently in the building, a running count, the day’s drop-off and pick-up times, and a “just checked out, ready for pickup” list so parents are matched up fast.
- An admin view for staff to correct entries, look up any day’s history, and export a roster for drills or attendance.
- Reliability first: the kiosk keeps working if the internet blips and syncs when it returns, and the board is locked so it cannot be changed from the display.
The result
The front office now has an accurate, live picture of who is on site at all times. Drills are faster. Pick-up is calmer because staff can see who has already left and who is waiting. And the system has run every weekend since it launched, with no dedicated IT staff, which is exactly what a volunteer-run organization needs.
Why it matters for other organizations
The same pattern fits any place that needs to know who is present: schools, after-school programs, churches, community centers, gyms, coworking spaces, job sites. If you are tracking people with a clipboard today, this is a few weeks of work away.
